Consultation Policy Overview for Concept Migration
Initial Consultation
Our initial consultation aims to thoroughly examine your case, explore available options, and
determine the most suitable course of action. Typically lasting up to one hour, this session is
dedicated to providing you with a clear direction and addressing all your inquiries. For your
convenience, meetings are conducted either via Zoom or face to face at our office.
Disclaimer
The initial consultation is an assessment of your eligibility and does not constitute legal or
migration representation. It does not guarantee ongoing support or a positive outcome on visa applications. By booking a consultation, you acknowledge that this service excludes the review of documentation for your application and does not imply that we will act as authorized representatives for your case. Engaging our services after the initial consultation is entirely your decision, and a separate service agreement will be established for this purpose. Please note that the initial consultation fee is not deductible from any application service package.
Before Your Consultation
Upon receiving your confirmation email, you will find an Initial questionnaire that must be
completed and submitted prior to your consultation.
Duration and Scope of Consultations
Our consultation services, both paid and free, are strictly confined to the duration booked by the client. In instances where the issues are complex or extensive, it might not be feasible to
address everything within a single session. Clients are advised to submit all questions and
pertinent information at least 48 hours before their scheduled appointment to maximise the
effectiveness of the consultation time.
Advisory Services
While we strive to provide precise and comprehensive responses, we cannot assure the
identification of a suitable visa pathway for every case. Initial complimentary consultations are designed to discuss broad migration principles and may not delve into specifics. Should a more detailed analysis be required, we may recommend a more appropriate consultation service. Our advice is based on the theoretical scenarios presented by the client. We do not verify the accuracy of the information or documents provided by clients and are not responsible for any losses or delays that may result from inaccuracies or missing information. Clients are encouraged to verify all information independently.
Professional Relationship and Liability
Engaging in our consultation services, whether paid or unpaid, does not establish a client-
migration agent contractual relationship unless explicitly agreed upon for representing the client in their migration matter. To the full extent permitted by law, we explicitly disclaim any
liability for loss or damage arising from reliance on the general information provided during our service. We operate in accordance with the Migration Agents Code of Conduct and may require the signing of a Service Agreement before proceeding in certain cases. Clients will be informed if such an agreement is necessary.
Cancellation, Rescheduling, and Refund Policy
- All consultation appointments are strictly limited to 45 minutes. To secure your
appointment, consultation fees must be prepaid in full. - No-Show Policy: Should you fail to attend your scheduled appointment without prior
notification, your prepaid fees will be forfeited in full. - Cancellation Policy:
• Less than 48 Hours’ Notice but more then 4 hours: Cancellations with less than
48 hours’ notice but more than 4 hours, will incur a $75 cancellation fee. The
remaining amount, after the cancellation fee, will be credited towards your next
appointment.
• 4 Hours or Less Notice: Cancellations made 4 hours or less prior to the
appointment time will result in 50% of the fees being forfeited. The remaining
balance will be credited towards your next appointment. - Clients wishing to cancel or reschedule a consultation should email
info@conceptmigration.com.au before the scheduled appointment time. Should our agent be
unable to meet at the scheduled time, we will propose alternative appointment times. If
unsuitable, the client is entitled to cancel and receive a full refund minus any late notice
cancellation fees.
Attendance Policy
Clients are required to join the meeting promptly at the scheduled time. We must be notified in advance if the client anticipates being late or unable to attend. Time missed due to non-
attendance by the client is non-refundable unless a prior agreement for a refund is made under exceptional circumstances.
After Your Consultation – Subsequent Consultations and Questions
According to the code of conduct for migration agents, follow-up sessions or questions beyond the initial consultation period are not considered part of the initial consultation. Therefore, no further follow-ups or discussions regarding your case will be provided unless a service agreement is signed.
Confidentiality
We are committed to maintaining the confidentiality of your personal information and will not
disclose it to any third party without your written consent, except as required by
Commonwealth, State, or Territory law.
This revised policy aims to clearly communicate the terms and conditions of our migration
consultation service at Concept Migration, ensuring clients are well informed about the
procedures, responsibilities, and expectations involved.
